POSITION SUMMARY

Under the supervision of the Calgary Tower Management Team, you will assist with a variety of financial and administrative responsibilities. Under the supervision of the Calgary Tower Management Team, assist with a variety of financial, retail, and administrative responsibilities, and conduct all regular financial reporting to Aspen’s Accounting department.

Regular hours of work are 8:00 am to 4:30 pm Monday to Friday. 

KEY DUTIES

​Revenue Administration

  • Complete daily cashouts by inputting sales figures into Daily Sales Report spreadsheets.

  • Upload Daily Sales Report to the accounting system.

  • Variances | investigate discrepancies, identify trends, and report to the manager.

  • Prepare daily cash deposits and coordinate weekly pickup with Garda. 

  • Safe Float Management | Maintain adequate levels of cash and coin denominations, providing change to the Guest Services team as needed.

  • Accounts Receivable | Manage and track all billing and collections. 

  • Conduct monthly bank reconciliation. 

  • Conduct credit checks for new tour groups and Calgary Tower ticket resellers.

  • Coordinate vending machine refunds. 

  • Manage and maintain electronic and physical file storage. 

  • Assist with POS maintenance and new system implementations.
     

Retail Administration

  • Complete daily retail cashouts by inputting sales figures into Daily Sales Report spreadsheets. 

  • Prepare expense reports and purchase orders for retail product. 

  • Conduct monthly audit of open purchase orders. 

  • Process invoices for retail product. 

  • Manage invoicing disputes. 

  • Investigate vendor payment issues. 

  • Prepare and place product orders as needed. 

  • Assist with bi-annual inventory count. 

  • Assist with receiving product when needed. 

  • Retail Reporting | Produce quarterly reports, meeting minutes, Shopventory reports, etc. 

  • Perform additional tasks as needed, contributing to the overall success and of the Calgary Tower’s retail operation. 

 

Business Administration

  • Provide administrative assistance to the Calgary Tower team

  • Prepare expense reports and purchase orders

  • Assist with the preparation and input of budget expenses into the accounting system

  • Prepare and place orders for office and kitchen supplies. 

  • Provide backup coverage for Guest Services (Lobby or Observation Deck breaks)

  • Manage company email accounts as required

  • Assist with events as required.

  • Perform additional tasks as needed, contributing to the overall success and of the Calgary Tower. 

COMPETENCIES REQUIRED

  • Post-secondary education

  • Superior attention to detail, accuracy, and thoroughness

  • Self-starter with the ability to work independently

  • Excellent written and verbal communication skills 

  • Experience in accounting, retail, or hospitality industry is an asset

  • Proficient with various software programs and technology, with intermediate Excel skills

  • Professionalism, flexibility, integrity, and punctuality

  • Successful City of Calgary Police Information/Criminal Record Check
